# How to manage the approvals for the ChurchTools website?

First, go to the *Public relations* section in your ChurchTools.

**Note**

If you cannot see *Public relations*, you do not have the Administration Permission *Manage public relations (edit public relations)*. In this case, contact the ChurchTools admin of your congregation.

[![System settings - Public relations](https://staging.churchtools.academy/wp-content/uploads/2025/08/Tool-menu-Public-relations-CleanShot-2025-09-05-at-17.00.59@2x.png)](https://staging.churchtools.academy/wp-content/uploads/2025/08/Tool-menu-Public-relations-CleanShot-2025-09-05-at-17.00.59@2x.png)

Go to *the ChurchTools website* (1) and select *Posts*, *Calendar*, *People* or *Groups* from the menu on the left (2).

You can share *Posts*, *Calendars* and *Persons* directly. Under *Groups* you will find an overview of all published groups. You can publish groups in the *Groups module*.

### Share Posts

To share and publish posts on the ChurchTools website, select the Groups whose posts you want to share using the *+ Share posts* button.

Once approved, the public Posts of the selected Group(s) will be published on your ChurchTools website with the next update.

**Important**

To automatically display posts on ChurchTools website, you must

1. be created in a *public group*,
2. have visibility *as a group* and
3. have the group's posts *approved* in the *Public relations* section under *Sharing*.

The overview of approved groups shows you whether the requirements have been met. If you need to make any changes, you can switch to the group directly via the context menu at the end of the group line.

### Share calendar

To share and publish calendars for the ChurchTools website, simply select the calendars you want to share using the *+ Share calendar* button.

The image and address of an event from ChurchTools will be used for your website. If a calendar is assigned to a campus in ChurchTools, this is also transferred to the calendar name on the website.

Once approved, the selected calendars will be published on your ChurchTools website with the next update.

### Release and publish personal data

#### Release personal data

Sharing with individual people is done via the group roles of users in ChurchTools. Unlike posts or calendars, the current data of shared people is then automatically imported into your ChurchTools website, but not automatically published. You can find out how to publish the data in the next section.

1. You create the release of the persons via the *+ Share members* button.
2. First, select the **group** in which the person is located.
3. In the last step, you select the **group role** that you want to publish.

**Tip**

In this way, you can, for example, share the participants of the congregation leadership group or the leaders of your home groups on the ChurchTools website. If the leader or the data of a shared person changes, the data on your website will be updated automatically.

#### Publish personal data

Approved people are synchronized to your website and saved there as a draft under *People*. You can find out how to further edit and publish the data in our article on [publishing personal data](https://staging.churchtools.academy/en/help/website-and-finder/content/how-to-create-and-edit-a-person/).

### Published Groups

Groups are published without further approval as soon as you set the visibility of the group to *Public* in the *group settings*. ChurchTools Website then automatically imports the published groups and keeps them up to date.

All public groups and their [group homepages](https://staging.churchtools.academy/en/help/churchtools-modules/settings-groups/how-to-customize-the-group-homepage-of-my-parent-group/) are displayed in the *group* shares.

**Note**

Importing data from ChurchTools into the website can take a few minutes.
