# Recommendations on permissions for small groups

In this article you will find our recommendation for the authorization of the small groups. Depending on your church structure, you may want to add to or reduce this for you.

**Tip**

In our recommendation you will find the total amount of permissions that we think a leader or participant of such a group should have. In some churches there may be co-leaders, organizers or similar roles in groups. If this is the case for you, then simply divide the permissions we recommend among several roles, or reassign the recommended permissions how you think it's useful for the different roles.

Since you probably want all your small group leaders and members to have the same permissions, regardless of which small group they belong to, we recommend that you assign the permissions using the group type *small group*. This way you define basic permissions for all groups of this type. If a small group should then, for example, also take on diaconal tasks, the permissions required can then be given directly to this group.

Basically, we recommend that the members of a small group can see who is part of the small group and what dates are coming up, e.g. when and where the group meets regularly. If your church uses the ChurchTools App, it can also be useful to share the chat function with the small groups, so that the small groups can easily exchange information outside of their meetings.

For small group leaders, we also recommend enabling the follow-up-feature to help them manage the group and care for its members.
If you make a meeting space available to the small groups in your church, it also makes sense to give small group leaders access to resource bookings, i.e. to avoid double bookings.

**Tip**

*Comments* can be stored for persons. For these comments you can also define different categories (e.g. leader, admin etc…) in the *master data*. You can then authorize these categorized comments over the permission *View comments*.

**Tip** **about the group-internal permissions for financ**es

It does not make sense that group members get permissions for finances via the group type small group.

If the division "small groups" gets a total budget, this should be administered by a division leader. For this purpose, a group is created, to which the small groups are subordinated and in which the division leader gets the role leader. This group then directly gets the group-internal permission for the budget in the linked cost center and/or the permission for the bookings for this budget, etc.

If an individual small group has its own budget, the manager gets the corresponding permissions for it directly via the group.
